Performs varied and complex office duties in support of the City Clerk including but not limited to:
travel arrangements, reports completed after travel, any reimbursements for out-of-pocket expenses, office supply order, organizing meetings and related duties.
Maintains the City Clerk's files and databases, assuring accurate recall and confidentiality.
Assists in serving as Custodian of Records for all ordinances, resolutions, proclamations, and other city records.
Assists in coordinating the signing of all official documents.
Assists in developing and preparing proclamations.
Processes and retains permanent records of the City according to the City of Duenweg's Record Retention Policy and researches and retrieves past files as needed.
Serves in the capacity of the City Clerk in his or her absence.
Assists in providing staff support for the City Council meetings, including agenda assembly and taking minutes.
Coordinates and ensures processing of all records request for public information including acknowledgement to the requester, follow up procedures involved in assuring the request response is completed and in compliance with Missouri State Statues and City Code.
Responds to routine and non-routine inquiries relating to the various functions of the City Clerk's Office.
Research and draft ordinances, resolution, proclamations and correspondence.
Ensures all legal documents are recorded with Jasper County.
Provides staff support for the members of the City Council.
Assists in coordinating municipal elections.
Perform special projects as directed.
Performs related duties.
Must be able to manage a variety of tasks simultaneously and remain organized.
Requires skills in decision making, initiating and providing follow-up work on projects and communicating with administrators, colleagues, representatives of other agencies, and the public.
Work involves the exercise of initiative, independent judgement, and the application of departmental policies, operating procedures, rules and regulations to a range of work situations which involve considerable public contact and inter-office contact.
KNOWLEDGE REQUIRED:
Knowledge of Microsoft Office programs (Word, Excel, Outlook), and basic office equipment.
Ability to learn the City's software and ability to maintain that knowledge through software updates, training, and research on new products.
Ability to communicate effectively, both verbally and in writing.
Ability to effectively organize and prioritize work as well as concentrate on multiple tasks simultaneously.
Ability to use good judgment and think quickly and rationally in difficult or stressful situations.
Excellent customer service skills.
Knowledge of basic accounting procedures and mathematical principles.
Skill in decision making and problem solving.
Must possess good knowledge of standard procedures and practices for an office environment and be comfortable in a fast-paced environment.
Knowledge and level of competency commonly associated with the completion of a high school degree and experience in government related activities, requirements and regulations.
